CALL TO ORDER – Madam Chair McGrath called the meeting to order at 2:00 P.M.10 11 Present: Chair of Library Board of Trustees, Holly McGrath; Co-Chair and Board of12 Trustees Member, Don Heymann; President of the Friends of the Library, Greg Golinksi;13 and Subcommittee Members: Davina Fogel, Jennifer Kirkland, Karen Cantelmo, Shawn14 McGlaughlin, Dan Sommer, Stephanie Prato, Heather Czuchta.15 16 Absent: Simsbury Public Library Director, Lisa Miceli; Secretary of the Library Board of17 Trustees, Mary Glassman; Subcommittee Members: Jamie Sepa, Kathleen Miklus.18 19 MOTION: Ms. McGrath made a motion, seconded by Mr. Golinski, to amend the20 Agenda, adding the approval of January 27, 2026, Special Meeting Minutes. The motion21 carried unanimously.22 23 II. APPROVAL OF MINUTES24 25 January 27, 2026—Special Meeting26 27 MOTION: Ms. McGrath made a motion, seconded by Mr. Heymann, to approve the28 Minutes of the January 27, 2026, Special Meeting. The motion carried unanimously. Ms.29 Czuchta abstained.30 31 III. SURVEY32 a. Review33 Committee reviewed the survey, including both online and print versions.34 Timing for survey completion estimated at 5–7 minutes.35 Consensus: Survey content is appropriate and ready for public release.36 Discussion of flyer/QR code distribution: Flyers will link to the online survey and be37 available at the library, senior center, and other community locations.38 Press release reviewed: Minor typos corrected; link to survey to be added.39 Library Board of Trustees’ Strategic Planning Subcommittee Special Meeting Minutes February 25, 2026 Page 2 of 2 MOTION: Ms. Fogel made a motion, seconded by Ms. Czuchta, to approve the press40 release as amended and release of both print and online survey. The motion carried41 unanimously.42 43 b. Rollout44 The press release, online survey and paper survey will be posted to the library and town45 websites and will be available to the public soon.46 Social media posts made by library will encourage participation.47 Committee to encourage online completion when possible.48 We plan to post signs about the Strategic Plan Survey, offering public library computers49 for online completion and will have links to the survey on our public computers.50 Committee members may walk their neighborhoods and offer flyers to neighbors, as well51 as reaching out to other community groups and faith communities they are part of.52 Paper responses will be accepted and reviewed. The Committee discussed the merits of53 manually adding them to the online system, versus reviewing them separately.54 Potential use of OCR scanning to facilitate entry of handwritten responses was discussed.55 56 c. End Date57 Discussion on the collection period: no consensus on a hard end date was reached. The58 committee expects to collect responses at least until the April 22nd meeting, but perhaps59 longer.60 In the March 25th meeting the committee will assess initial responses. The goal is to get61 as many responses as possible.62 63 IV. FOCUS GROUP DATES & LOCATIONS64 65 March 11 @ 7 P.M. at Library66 Dan Sommer will facilitate, Davina Fogel will take notes.67 68 March 16 @ 10 A.M. at Library69 Holly McGrath will facilitate, Heather Czuchta will take notes.70 71 V. SIGN-UP FOR72 a. Individual Interviews73 b. Outside Group Meetings74 Subcommittee members volunteered for outreach to various community groups such as75 faith communities, schools, senior living facilities, chamber of commerce, local76 organizations, etc.77 78 VI.
